1. Who we are
TalentHRC (“we”, “us”) provides a hosted HR platform — a “People System” for directory, leave, documents and hiring. You can reach us at info@talenthrc.com.
2. Our role
For our public website and for the account holders who sign up, we act as a data controller. For the employee data our customers enter into the product, the customer is the controller and we act as a data processor on their instructions.
3. What we collect
From the website: the details you submit through our contact form (name, work email, company, message), and privacy-friendly, aggregate usage analytics.
In the product: account information (name, email, role, company) and the HR records our customers choose to store (such as employees, leave requests and documents).
4. How we use data
To provide and secure the service, respond to enquiries, process leave and documents, send transactional emails (for example invitations and reminders), and improve the product. We do not sell personal data or use it for advertising.
5. Legal bases
We rely on performance of a contract (providing the service), our legitimate interests (running and improving the business, security), consent where required (for example certain communications), and compliance with legal obligations.
6. Subprocessors
We use trusted infrastructure providers to run the service: Supabase (database, authentication and file storage), Vercel (application hosting), and Resend (transactional email). We work to keep hosting within the EU where feasible.
7. Retention
We keep personal data for as long as an account is active or as needed to provide the service, then delete or anonymise it within a reasonable period, unless a longer period is required by law. Customers can export or delete individual records at any time.
8. Security
Each customer’s data is isolated, the database enforces row-level security, documents are served only through short-lived signed links after an access check, and administrative actions are recorded in an audit trail.
9. Your rights
Subject to applicable law, you may request access to, correction of, deletion of, or a copy of your personal data, and you may object to or restrict certain processing. For employee data held on a customer’s behalf, please contact that employer; we will assist them as their processor. To exercise a right, email info@talenthrc.com.
10. Cookies
The product uses essential cookies needed to keep you signed in. Our website analytics are designed to be privacy-friendly and do not use advertising cookies.
11. Changes
We may update this policy from time to time. Material changes will be reflected by the “last updated” date above and, where appropriate, communicated directly.
